Slides: Making the Most of the Public/Private Career Days (ppt)
Navigating Zoom
Each career day will begin promptly at 12:00 p.m. with an attendee orientation. After the orientation, you will be allowed to enter the breakout rooms labeled by employer name. You should see a “Breakout Rooms” option on your bottom menu. Click on the room labeled with the name of the employer you wish to visit. When the confirmation box pops up, click “Yes.” You will be brought into the breakout room.
If you don’t see the breakout rooms button anywhere, send a private message in the chat to the attendee named “Tech Support.” They will be able to manually place you in the breakout room of your choice.
Once in a breakout room, you can turn your video on. We recommend staying muted until you are ready to ask a question or speak. In addition to unmuting to ask questions, you are welcome to ask questions using the chat feature.
If you wish to exit a breakout room, you can do so using your Zoom menu. You will then be asked if you wish to return to the main room or leave the zoom meeting. Click “Return to Main Session” to be back where you started. To enter a new breakout room, you will need to follow the same steps previously covered to join a different room.
Once you are ready to leave your last breakout room, you can click “Leave Breakout Room” and then “Leave Meeting.”
If you have any questions during the fair, return to the main room and staff will be available there to answer your questions.
FAQs
What kind of device should I use for the event?
For the smoothest event experience, we suggest that you log in on a laptop or desktop computer. However, you will still be able to access the event on mobile devices.
Whichever device you use, though, make sure to download the latest version of Zoom!
Should I bring my resume to share at the event?
For ease of logistics, we are asking all attendees who would like to share a resume with an employer, to please submit your resume via our resume book submission form. We have also asked employers to direct you to do so.
What if I can only stay for part of the event?
You are welcome to join and exit the event as you are able. However, we encourage you to join at the event orientation time if possible (12:00 p.m.) so that you are comfortable navigating the event. If not, staff will still be available to answer questions and direct you when you arrive.
Will I be able to meet with employers on a 1:1 basis?
1:1 meetings will not be available for this event. However, we anticipate that small group sizes will allow for meaningful engagement between employers and participants.
What kinds of opportunities will employers be promoting at the event?
Employers will be speaking about jobs, internships, fellowships, fieldwork projects, volunteering, and more. A handful of employers’ hiring may be up in the air due to COVID. In those cases, they will share the types of hiring they typically do and give you information about how to stay connected as things begin to open up.
How can I stay connected to an employer I meet at the event that I’m really interested in?
Attending an employer’s session at the event and submitting your resume to the event’s resume book is not the same as applying for a job with them. Follow the instructions the employer provides for how to apply for their opportunities—whether that be applying through their website or emailing your materials to a person they specify.
Be sure to be an active participant at the session, asking questions and introducing yourself by stating your name and what you are/have studied before asking your question.
Submitting your resume to the event’s resume book will make it easier for an employer to reach out to you after the fair if they’d like to do so,
After the fair, we will be circulating an employer interest survey where you can indicate which employers you have particular interest in. Employers will receive the list of attendees that have expressed specific interest in their organization which they can utilize alongside the resume book.
Tips for a Successful Event
Tip 1: Use a Stable Device
Since you will be in video chats with employers, consider using a laptop or desktop that is resting on a desk or table. This ensures that your screen does not move while you are talking to the employer. If you decide to use your mobile device, find a way to prop it up so you don’t need to hold it. Even if you are blessed with nerves of steel and steady hands, a table or desk location will always provide better video, and you will feel more comfortable if you can speak freely without worrying about moving or dropping your device. Whatever device you choose to use, make sure the camera works, and that you are either plugged in or are fully charged, with several hours of battery life.
Tip 2: Check Your Wi-Fi or Internet Connection
For the best experience at the fair, you will need a steady and reliable Wi-Fi or internet connection. Wired internet connections are often more stable and reliable than wireless.
Tip 3: Inspect Your Background and Lighting
Before you turn on your video, remember to quickly scan your surroundings to make sure that things are orderly. You don’t want to be embarrassed by compromising items in the background, such as open bottles, controversial materials, or a pile of dirty laundry. Also consider finding a quiet place where you can concentrate and not be disturbed by roommates, family members, or pets. Lighting is also an important consideration. If there is a bright light behind you, your face will not show up well on camera. Avoid having bright sunny windows directly behind you. Try to have some light on you, so that the employer can see you when you are talking. Bright sunlight directly behind your screen is another hazard to avoid; you will look much better during the fair if you are not constantly shielding your eyes!
Tip 4: Dress Professionally
Since a virtual career fair enables employers to see you on camera, professional attire will help you to make a good first impression. Some experts advise dressing as if you were attending an interview; others say that business casual—button-down shirt or blouse—is reasonable. Try to stay away from T-shirts with logos, ripped clothes, or tops that reveal too much. From a video perspective, it is also good to wear solid colors, avoiding clothes with lots of patterns, stripes or plaids. Your goal is to have the employer to focus on you as a person and not to be distracted by what you are wearing.
Tip 5: Turn Notifications Off
While you are in the live virtual career fair, you will want to focus your attention on connecting with employers. To avoid being distracted, consider turning off notifications for social media, news, and other applications. If you are busy looking at the notifications for other applications, you might miss a key piece of information from the employer!
Tip 6: Research and Plan Ahead of Time
Similar to in-person career fairs, you can get more out of the experience if you have researched in advance the employers who will be in attendance, their profiles, and jobs that they are offering. Use that research to create a prioritized list of companies with whom you would like to speak, so you know exactly which employer lines to get into when the virtual career fair opens.
Tip 7: Arrive on Time
Similar to an in-person fair, it’s best to arrive on time. Unlike in a physical fair where you can spend more time with the employers with which you are most interested, at virtual events, all time is limited.
Tip 8: Take Notes
When you have finished an employer session, make sure to take notes. You may attend many sessions over the course of the two career days, and you will want to remember specific information about each employer for follow up after the fair.
Tip 9: Apply to Jobs
If you enjoyed your time with an employer, then check out the company’s job postings. Go ahead and show your enthusiasm by applying to the jobs immediately after the fair. After all, finding that great job is why you attended the fair!
Tip 10: Send Thank You Notes
After the fair is over, you can retrieve the names of company representatives, emails, and notes that you have taken. Use this information to send thank you notes to the representatives, expressing your interest and gratitude for taking the time to video chat with you. Making this extra effort can help the representatives remember you in a positive light.
Closing Thoughts
While a virtual career event may seem quite different at first, in the most important ways, it is just like a regular career fair or information session: the employers are still there to find great candidates and you are there to find a great job.
Similarly, a video interview is very similar to an in-person interview. Maintain eye contact, smile, and be confident. Remember to follow up. The main difference is in being able to make a good impression on camera. While meeting people online is certainly different from the in-person experience, it is still a fantastic way to find an opportunity, as long as you understand the differences and use them to your advantage.
By following the simple tips above, you can make the most of your virtual career fair experience!
